Career Logs — Terms of Service & Privacy Policy

Welcome to Career Logs (“we,” “our,” or “us”).

By creating an account, accessing, or using our service (“Service”), you agree to these Terms of Service and our Privacy Policy. If you do not agree, please do not use the Service.

1. Overview

Career Logs helps professionals track their work progress, goals, and achievements through structured logs, notes, goals, and AI-powered insights.

2. Eligibility

You must be at least 16 years old (or the age of digital consent in your jurisdiction) to use Career Logs. By using the Service, you represent that you meet this requirement.

3. Accounts and Security

• You are responsible for keeping your login credentials secure.
• You must not share your account or impersonate another person.
• We reserve the right to suspend or terminate accounts that violate these Terms.

4. User Content

• You retain full ownership of the content you create or upload — including logs, notes, goals, key metrics, AI coach conversations, and media files (collectively, “User Content”).
• By submitting User Content, you grant Career Logs a non-exclusive license to host, process, and display it as needed to provide the Service.
• You are responsible for ensuring that your content does not violate laws, intellectual-property rights, or contain harmful or illegal material.

5. Deletion and Retention

• Deleting content inside the app performs a soft delete (content is marked inactive but retained for audit, recovery, or troubleshooting).
• To request permanent deletion of your account or data, email us at team@careerlogs.com.
• We may retain backups and system logs for a reasonable period for security and compliance purposes.

6. Subscription Plans and Payments

• We offer a Free Plan with limited usage and a Paid Plan with extended limits and features.
• Payments are securely processed through Stripe. We do not store your credit-card details on our servers.
• By subscribing, you authorize recurring billing according to your plan's terms.
• You may cancel anytime; cancellations take effect at the end of the current billing cycle.
• Refunds are handled in accordance with applicable law and our discretion.

7. Acceptable Use

You agree not to:

• Use the Service for unlawful purposes or upload offensive, harmful, or infringing content.
• Attempt to hack, reverse-engineer, or disrupt our systems.
• Circumvent access limits or share paid features outside your account.

Violation of these rules may result in suspension or termination of your account.

8. AI-Powered Features and Data Processing

Certain features of Career Logs use artificial intelligence (“AI”) models provided by OpenAI and other third-party providers to analyze or generate text and insights.

By using AI features, you acknowledge and consent that:

• Relevant text inputs and metadata may be securely transmitted to these AI providers for processing.
• These providers may use submitted data to improve their models in accordance with their own privacy policies and terms of service.
• Career Logs does not control or guarantee how third-party AI providers store, retain, or use such data.
• AI outputs may occasionally be inaccurate, incomplete, or inappropriate — you should review and verify any generated content before relying on it.
• You remain fully responsible for your use of AI-generated text and any decisions made based on it.

9. Data Storage and Security

• Your data is stored with secure cloud providers such as Supabase, Vercel, and Stripe, who implement encryption and industry-standard security.
• While we take reasonable measures to protect your data, no system is completely secure, and we cannot guarantee absolute protection.
• You agree to notify us immediately if you suspect unauthorized access to your account.

10. Privacy Policy

By using Career Logs, you consent to the collection, use, and disclosure of your personal information as described in this Privacy Policy.

10.1 Data We Collect

We collect information necessary to provide and improve the Service, including:

• Account Information: Your name, email address, profile photo (if provided), and authentication data used to create and manage your account.
• Usage Data: Information about how you interact with the app, such as activity logs, feature usage, and preferences. This helps us understand performance and improve the user experience.
• User Content: The information you choose to store within the app — including logs, notes, goals, AI chat messages, media uploads, and other entries created through your account.
• Payment Data: Billing details and subscription information processed securely by our payment partner, Stripe. We do not store full credit-card numbers or sensitive payment credentials on our servers.

We may use cookies or similar technologies to understand usage patterns and improve our Service. You can control cookies through your browser settings.

10.2 How We Use Data

We use your information to:

• Operate and improve the Service.
• Provide AI insights and personalized experiences.
• Process payments and manage subscriptions.
• Communicate updates or respond to support requests.

10.3 Sharing and Third-Party Services

We only share your information with trusted third parties who help us provide the Service. These include:

• Supabase - for database, authentication, and file storage.
• Vercel - for hosting and infrastructure services.
• OpenAI - for processing AI-generated insights and chat features.
• Stripe - for secure payment processing and subscription management.

These providers process data in accordance with their own privacy and security practices. We do not sell, rent, or trade your personal data to advertisers or other third parties.

Your information may be transferred to and processed in countries other than Canada, including the United States, where our third-party service providers operate. We ensure that such transfers comply with applicable privacy laws and that appropriate safeguards are in place.

We retain information for as long as necessary to operate the Service, comply with our legal obligations, or resolve disputes. Specifics include:

• Soft deletion: When you delete content in the app, it is marked inactive but may remain stored for audit, recovery, or technical purposes.

• Backups and logs: Backup copies and system logs may persist for a limited time to ensure continuity and security.

The Service and AI outputs are provided “as-is” without warranties of any kind.

Career Logs and its partners are not liable for indirect, incidental, or consequential damages arising from your use of the Service.

13. Governing Law

These Terms and any disputes arising from your use of the Service shall be governed by and construed in accordance with the laws of the Province of Ontario, Canada, and the federal laws of Canada applicable therein, without regard to conflict-of-law principles.

You agree that any legal action or proceeding shall be brought exclusively in the courts located in Toronto, Ontario, unless applicable law requires otherwise.
